Reception Accountabilities:


  • Manage reception switchboard; answer and direct incoming calls during business hours
  • Provide polite and courteous customer service to incoming guests
  • Process incoming and outgoing courier packages and mail in a timely and cost effective manner, ensuring that adequate mail supplies are on hand


Administration Accountabilities:


  • Order, stock and distribute office and stationary
  • Prepare, review and modify general templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials
  • Assist in the creation of presentations
  • Coordinate and schedule internal and external meetings, appointments and travel arrangements
  • Coordinate catering requirements, as necessary
  • Preparation of Expense reports
  • Responsible for maintenance and cleanliness of office stationary supply rooms including stocking and organization of supplies
  • Ensure board rooms are set up for client meetings and supplies put away when meeting is concluded


  • Manage scheduling of boardrooms; assist with technological support for boardroom equipment to clients and staff


  • Record minutes at various meetings and distribute accordingly
  • Maintain client files and records






  • Minimum of two (2) years of related administrative experience and in a professional environment
  • 1-2 years Front Desk/Reception experience
  • Completion of related post-secondary education in administration is an asset
  • Strong proficiency with Microsoft Office Suite
  • Ability to multi-task and excellent time management skills
  • Ability to work in a fast-paced environment with tight deadlines


Salary: 28000 - 40000 CAD/month
Experience: 2-3
